Set availability of private sessions

When you have set up a private activity so that your clients or members can book or request a session, it is essential to set your availability. Based on your availability, clients can see your available times. 

To set your availability (or that of another trainer in case you have these permissions in the Pro package) follow these steps: 

  1. Go to Calendar 
  2. Click on More 
  3. Click on Add Availability  

You can then enter your availability by creating one or more periods: 

  • Start date: your schedule starts from this date.  
  • Times: indicate from which time your schedule starts and until when it ends. Example: suppose your training lasts 60 minutes, you have set fixed time slots and your schedule starts from 9 am to 12 noon, then you will see the following available times: 9:00, 10:00 and 11:00. 
  • Recurrence: select whether you want to set a recurrence. 'Once' means that you only enter your availability for this day or these days. 'Every week' means that the days and times recur weekly. You can then also specify whether you want days and times to recur every 2, 3 or 4 weeks.  
  • Days: in case you set a recurrence, you can also specify on which days the times recur. After all, it often happens that you have the same working days every week or for a period. 
  • End: Specify when you want your schedule to end.  

Finally, you can specify to which private activities your availability applies. By default, this is set for all private activities. 

You can create a new period if you want to set completely different times on different days. You can also delete a period at any time. 

When are you no longer available? 

When a private session (regardless of which activity) is booked or requested, it is automatically no longer possible for a client to make a booking or request at that time. You are then no longer available. You can also schedule other agenda items, such as private appointments, team meetings or holidays. You can also indicate whether you want to block this period, so that you cannot receive a request or registration for a private session during this period.  

Set fixed time slots or flexible time slots per private activity 

For each private activity you can indicate whether you want to show your availability based on flexible time slots or fixed time slots.
