Creating invoice

You have the following options to create an invoice: 

Option 1: 

  1. Go to  Finances 
  2. Click on the New sale button at the top right (or + on mobile) 
  3. Click on Create invoice

  1. Click + in the top right corner 
  2. Click on Create invoice

You then have the following options:  

 

1. Client data (existing or guest) 

You can address an invoice to an  existing client or a  guest. You can easily select an existing client by searching for their name or email address. You can then edit the name, address or company details, by clicking on the Edit icon. This will be visible on the invoice. If you want to create an invoice for a guest, you will have to enter the name (or any company details) and address details. 

  

2. Items (products/services) 

You then have the option to add items to the invoice. You can add existing products to the invoice, including credit packs or retail products (in Pro). In addition, you can add your own invoice lines for products or services that you don’t usually offer to your clients. 

  • + Credits: add an existing credit pack or single session to the invoice 
  • + Retail/bar (PRO): Add a retail or bar product to the invoice 
  • + Custom: Click on this for a separate customised invoice line  

For each item, you can adjust the  description , quantity , price (per unit) and  VAT rate

Please note: In case you want to give a client a subscription with recurring payments (using automatic billing and requiring a mandate), you can do so via Assign Product. More information is then needed. 


3. Remarks 

Add any comments to the invoice if desired. Note: if you have configured that clients can also transfer the amount manually, it is not necessary to indicate this in the comments section. This is automatically displayed on the invoice. 


4. Invoice options 

You can create the invoice immediately or first save it as a draft or proforma invoice if you would like to finish it later. 

There are multiple options when creating the invoice: you can choose to send it and include a payment link, or set the invoice to paid immediately and then send it by e-mail, or collect it directly (if an authorisation has been issued). This is only possible for an existing client. An invoice can only be created for a guest and that you send it yourself afterwards. 

  

Important: invoice number, invoice date and due date are set automatically when the invoice is created. The due date is automatically calculated based on the configured payment term. 

 

Creating an invoice for payment made 

If a payment has already been received and no invoice has been created (e.g. because automatic invoicing has not been set up), you can still create an invoice for the payment. Via options (button with 3 dots), you can create an invoice for a payment. 

 

Rectify incorrect invoice 

Once an invoice has been created, you cannot delete it. In this case, a credit invoice will have to be created. For more information, see this article
